Leaders in Business Pty Ltd (we, us, our, LIB, or Leaders In Business) recognises and values the protection of your personal information.

We recognise that you have an interest in our collection and use of your personal information via our website, which is located at www.leadersinbusiness.com.au (the Website). We have implemented this Privacy Policy in order to be open and transparent about how we collect, hold, and use your personal information, and under what circumstances we may disclose or transfer your personal information. This Privacy Policy also outlines your rights to gain access to, and seek corrections of, your personal information we hold. Finally, this Privacy Policy provides information about how you can approach us about your privacy-related concerns and complaints, and how we will deal with such communications.

This Privacy Policy applies to information that Leaders in Business collects, via this Website.

Please note that this Website Privacy Policy forms part of the Terms of Use document, which is displayed at the footer of each page of the Website.

1. About this policy

Leaders in Business Pty Ltd (ACN 656 888 130) (LIB, we, us) helps accountants and advisors deliver strategic advisory services to their clients. We do that through our website, our training and events, and the LIB Workspace, an online platform where our members run advisory engagements with their own clients.

This policy explains what personal information we collect, how we use and share it, where it is stored, how long we keep it, and how you can access or correct it. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

It covers three groups of people:

  • Members and users: the firms and individuals who subscribe to the Workspace or our programs, and the people they add as users.
  • Leads and participants: people who contact us, download resources, complete an assessment, or attend our training, webinars or events.
  • Members’ clients: the business owners whose information our members enter into the Workspace in the course of advising them. We hold that information on the member’s behalf. The member decides what is entered and is responsible for having the right to enter it.

If you are a member’s client and have questions about information a member holds about you in the Workspace, your first point of contact is that member. We will help them respond.

Our Workspace Terms set out the contractual rules for using the Workspace. Our Data Security Overview, available in the Workspace, gives more technical detail on where information is stored and the providers we use. This policy sits above both.

2. What we collect

Members and users. Name, firm, role, email, phone, billing contact and billing status, login details, and how you use the Workspace (pages visited, features used, support requests). Payment card details are collected and held by Stripe, not by us.

Leads and participants. Name, firm, role, email, phone, and whatever you tell us when you book a call, complete the Advisory Readiness assessment or another form, register for training or an event, or subscribe to our content. We may also record the training sessions and webinars you attend.

Members’ clients. Whatever a member enters or uploads about a client business and the people in it: contact details, responses to diagnostics and questionnaires, SWOT and goals, financial statements and other documents, meeting notes, recordings and transcripts of advisory sessions, and the summaries, insights and action plans the Workspace generates from them.

From other sources. We may receive information about you from professional bodies or event partners when you register through them, and from the providers that collect our forms and assessments.

We do not ask for sensitive information such as health, religion, political opinions or criminal history, and ask members not to enter it about their clients. In particular, please do not upload documents containing tax file numbers. If a document you need to upload contains a TFN, remove or redact it first.

You can deal with us without identifying yourself for general enquiries, but we cannot provide the Workspace or our programs anonymously.

3. How we use it

We use personal information to:

  • provide the Workspace, our programs and our events, and support you in using them;
  • bill you and manage your subscription;
  • generate the outputs the Workspace is designed to produce for members: diagnostic results, pre-meeting insights, session summaries, action plans, financial briefings and AI Mike responses;
  • improve the Workspace and our programs, using aggregated or de-identified information where we can;
  • send you information about our programs, events and content, which you can opt out of at any time; and
  • meet our legal obligations.

Use of AI

The Workspace uses OpenAI to generate summaries, insights, action plans, financial briefings, meeting preparation and AI Mike’s chat responses. Some of this happens automatically: when a form response, file or note is added to a client record, the Workspace summarises it straight away. The relevant client information is sent to OpenAI and processed outside Australia, because OpenAI does not offer processing in Australia. The results are stored back in the Workspace in Sydney.

OpenAI does not use this information to train its models; data sharing is switched off on our account. The Workspace asks OpenAI not to retain requests and responses. OpenAI generally keeps them for up to 30 days to check for misuse, and may keep them longer where the law requires.

AI outputs are drafts for the advisor to review, edit and approve. We do not make automated decisions about you or about a member’s client. The advisor, not the system, decides what is recommended.

Members are responsible for ensuring they are permitted to enter a client’s information into a tool that uses outside providers and AI. Depending on your professional obligations, that may mean obtaining your client’s consent. Our Data Security Overview sets out who handles the information, what they do with it and where, so you can tell your clients accurately.

We do not use members’ client data for marketing, and we do not use it to build profiles of individual businesses outside the member’s own Workspace.

4. Who we share it with

We do not sell, rent or trade personal information. We share it only with the service providers we need to run the business, with our contracted developer for platform support, with professional advisers where necessary, and where the law requires.

The providers that handle information on our behalf:

Overseas disclosure

Several of these providers process information outside Australia, as shown above. We choose providers that maintain independent security certifications appropriate to what they do, and we contract with them on terms that restrict their use of the information to providing their service to us. By using the Workspace or our services you acknowledge that information may be handled by these providers in the countries listed.

We will not disclose a member’s client information to anyone else without the member’s instruction, except where the law requires us to. If we are compelled to disclose information to a third party, we will tell the member first wherever it is lawful and practical to do so.

5. Security, retention and breaches

How we protect it

Workspace data is stored in Australia, encrypted at rest and in transit, and backed up daily with backups kept for seven days. Each firm’s records are separated by access rules in the database and file storage, and automated tests check that one firm’s users cannot read another’s records. Access to our systems is limited to authorised LIB team members and our contracted developer, for operation, support and security. Firm administrators control who in their firm can access their Workspace.

No system is perfectly secure. We take reasonable steps to protect your information, we review our providers’ security programs, and we will tell you if something goes wrong. We ask you to do your part: keep your login details confidential, remove users who leave your firm, and don’t upload information you aren’t permitted to share.

How long we keep it

  • Members’ client data stays in the Workspace while the member’s subscription is active. When a subscription ends, the member has 30 days to ask us for an export of their client records, after which we delete them from the live system. Backups roll off within a further seven days.
  • Member account and billing records are kept for seven years after the subscription ends, as tax and corporate law requires.
  • Lead and participant information is kept while we have a reason to stay in contact with you. If you ask us to stop, we will delete or de-identify it unless we need to keep a record of your request.
  • AI processing: OpenAI retains requests and responses for up to 30 days, as described in section 3.

Data breaches

We are subject to the Notifiable Data Breaches scheme. If a breach involving personal information is likely to cause serious harm, we will notify the people affected and the Office of the Australian Information Commissioner as the law requires. If a breach involves information a member has entered about their clients, we will notify the member promptly and work with them on what their clients need to be told.

6. Your rights

Access and correction

You can ask to see the personal information we hold about you, or ask us to correct it, by emailing our Privacy Officer at admin@leadersinbusiness.com.au. We will respond within 30 days. We don’t charge for a request, though we may charge a reasonable cost for large or complex retrievals and will tell you first. If we refuse, we will tell you why and how to complain.

Members can access and correct their own firm and client records directly in the Workspace at any time.

Complaints

If you think we have mishandled your personal information, write to our Privacy Officer and we will investigate and respond within 30 days. If you aren’t satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

7. Cookies and marketing

Our website uses cookies and similar tools (including Google Tag Manager and analytics) to understand how the site is used and to remember your preferences. You can block cookies in your browser; some parts of the site may not work as well.

If you give us your email, we may send you content, event invitations and information about our programs. Every email has an unsubscribe link, or you can email us. We don’t send marketing to members’ clients.

8. Changes and contact

We review this policy at least annually and whenever our systems change in a way that affects how personal information is handled. The date at the top is the date of the current version. For material changes we will notify members by email or in the Workspace before they take effect.
